Best Fit: Cloud Cabinet, from AccountantsWorld is an excellent document storage/management solution, particularly for firms already using AccountantsWorld Power Practice suite of products.

Cloud Cabinet, part of AccountantsWorld Power Practice suite of products, offers users an easily navigated, completely cloud-based document storage/management system. Cloud Cabinet is completely cloud-based, Cloud Cabinet allows firms to store and share documents. AccountantsWorld uses Amazon.com data centers, that offer top-tier security, and the system requires unique user names and passwords in order to access the system. In addition, all data is backed up and stored in multiple locations. All data is backed up on a regular basis. Cloud Cabinet supports all common file formats including PDF, Word, Excel, PowerPoint, text, QuickBooks, ZIP, as well as all commonly used image formats.
Core Document Storage Functions 4.75 Stars
Cloud Cabinet offers users a default folder structure which firms can choose to utilize for all clients or folders can be modified to suit client needs. Client folder templates are available that are designed to guide users through the client creation process. During the setup process, firms can also provide clients with specific permissions, so that confidential documents can be uploaded as needed. Mentioned above, firms can choose to use the default folder for clients, or customize each folder to better suit both firm and client needs. The product also offers a variety of tools to make data search easy, with users able to use full-text search to locate any document that is stored in the system.
Users can easily drag and drop any kind of document into Cloud Cabinet. Tools such as Cyber Drop and Cyber Send are designed for Windows users. Cyber Drop uses scanner technology to enable users to easily upload files. Users can simply connect to a scanner that utilizes a TWAIN interface, which allows them to easily transfer any file from their PC by dragging and dropping the file into the designated folder. Users can then simply upload the contents of the folder directly into Cloud Cabinet, without logging directly into the system. Users can also use a scanning device to scan documents directly into Cloud Cabinet if desired. Users can also upload documents in batches directly into Cloud Cabinet. Cloud Cabinet uses top-tier security, allowing firms to ensure that only authorized personnel have access to confidential documents. There is also a shared-folder option available that will allow firms to save commonly used files that are frequently accessed by both staff and clients.

Cloud Cabinet is an excellent choice for firms that offer bookkeeping/accounting services to clients, with clients able to upload relevant documents such as invoices into Cloud Cabinet. Firm personnel can then access the documents as needed. The included portal function allows users to share confidential documents with clients, with each client provided with a confidential password provided to each client. For added security, all data files are encrypted during the file transfer process. Users can also choose to notify a client via email when a document has been uploaded for retrieval. The system can also be set up to notify firm personnel when a client uploads a file as well. The CyberSEND feature allows users to manage email correspondence as well, saving both emails and related attachments directly to the appropriate folder. Emails can be uploaded in a variety of formats including Outlook, HTML, and Text formats. For additional security, users can access the Client Activity log that will provide a complete list of all files that have been uploaded, archived, emailed, or deleted in Cloud Cabinet.

Cloud Cabinet fully integrates with all AccountantsWorld Power Practice suite of products. For firms using Power Practice, any documents created in Power Practice are automatically transferred into Cloud Cabinet. Other documents can be easily uploaded individually or in batches into Cloud Cabinet. A client log is also available that displays all files that have been uploaded, emailed, deleted, and even renamed.
